Clinic Policies & Procedures

Thank you for choosing Every Child Pediatrics as your Medical Home.

Our goal is to provide the best care for your child by partnering your family with a designated health care team so that it is as easy as possible for you to receive care. Please get to know your health care team and request them by name. Your participation and partnership in the processes identified below are essential for us to accomplish this goal.

SCHEDULING: To schedule a same-day appointment, please call at 7:30 a.m. You are welcome to call our scheduling department at any time to preschedule available appointments. Our scheduling team is available from 7:30 a.m.-5 p.m., Monday-Friday.

ARRIVAL TIME: Please plan to arrive at least 15 minutes before all appointments. Late arrivals, 10 minutes or later, will be seen only if we are able to fit you in. You may have an extended wait since patients arriving on time will be seen first. A late arrival is counted as a “no show” if the patient is unable to be seen that day.

CANCELLATIONS: To allow us to best serve all patients, please cancel your appointment with at least 24 hours notice when able. This allows the scheduling team to place another child into the open slot. For same day cancellations, please call at least three hours in advance of the scheduled appointment time. Appointments not cancelled with the appropriate notice will be considered a “no show”.

NO SHOWS: After two consecutive no shows, you will no longer be able to preschedule an appointment. This also applies to patient and families who have three no shows in a one year time frame. Families will be asked to call the scheduling team for same day appointments if they meet this criterion. If a family no shows for a same day appointment, you will be asked to walk in to any of our clinic locations between designated hours only. You will receive a letter outlining next steps for you and your family if you have been restricted from prescheduling appointments.

BEHAVIOR STANDARDS: We strive to provide a safe environment for our children, families, and staff. When in the clinic, it is important that everyone speak with appropriate language and in a manner that is respectful of children, families, and staff in the clinic. If you have any questions or concerns, please request to speak with the Office Manager.

WALK-IN APPOINTMENTS: Those patients and families who have been restricted from prescheduling appointments are welcome to walk in between 8 a.m.-9 a.m. and between 1 p.m.-2 p.m. You will be scheduled on a first come, first serve basis into an open slot. We will make every effort to schedule you with your designated health care team.

In order to better serve you, we must have a current phone number as well as a backup number of file. The backup number will be used to address your child’s health care needs in the event that you cannot be reached at your primary number. Your email address is necessary so that we are able to register you for our Patient Portal, where you can request immunization forms, get messages from the clinic and your child’s provider, view test results, or pay for your bill. Your personal information is confidential and is never provided to a third-part without your consent.

We will work with you regardless of insurance status or plan.

Every Child Pediatrics is a pediatric Medical Home that is:

ACCESSIBLE: Families can easily reach us or a nurse advice line 24/7. Families know how to contact us, which insurance plans are accepted, and that we have a sliding scale for uninsured patients.

FAMILY-CENTERED: Families are recognized as the principal caregivers and centers of strength, knowledge, and support for the children. Our families’ voices are valued.

COMPREHENSIVE: The child’s medical, education, developmental, and psychological needs are identified and addressed including limited dental care and behavioral health services*.

COORDINATED: A plan of care is developed with the healthcare provider, child, and family and is shared with other involved providers, agencies, and organizations that work with the child and family.

COMPASSIONATE: We strive to understand and empathize with the feelings and perspectives of both the child and the family. We strive to help families be comfortable, satisfied participants in their healthcare.

CULTURALLY-RESPONSIVE: The child and family’s cultural background, including beliefs, rituals, and customs are recognized and incorporated into care planning.

*Every Child Pediatrics is partnering with Mental Health Center of Denver (MHCD), Maria Droste Counseling Services (MDCC), and Aurora Mental Health Center (AuMHC) to provide comprehensive behavioral health services. These voluntary services may include screenings for behavioral concerns, consultation with a behavioral health specialist, assessment for possible medication support, and medication monitoring by a psychiatrist, brief interventions for your child, or family and parenting education and support. By providing these behavioral health services within your Medical Home at Every Child Pediatrics, we can provide early interventions that may help your child be more successful at home and school.

OTHER CLINIC-RELATED POLICIES

Face coverings are required for everyone at all locations.

All patients and accompanying parties must wear a face covering. Due to the vulnerability of our patient population, we continue to require face coverings for everyone age 2 and older at all Every Child Pediatrics locations, regardless of local county ordinances. We encourage you to bring a face covering from home. We will provide you with a mask if you do not have one.

Our scheduling department is open from 7:30 a.m. to 5:00 p.m. Monday-Friday and would be happy to assist with any needs you may have related to scheduling or cancelling an appointment. Our scheduling department can be reached at 303-450-3690.
